How Much Ice Does a Construction Crew Need Per Day in Texas Heat?

Superintendents ask this every May: how many bags of ice do I order for a 15-person crew in Odessa heat? Under-order and the water is warm by noon. Over-order and you waste product and truck space. Use the planning numbers below as a starting point, then adjust after two hot days of actual use.

Start With How Much Water the Crew Should Drink

OSHA’s heat guidance tells employers to provide cool potable water and encourage workers to drink about 1 cup (8 oz) every 15–20 minutes during heavy work in the heat — roughly one quart per worker per hour. For jobs lasting more than two hours, OSHA also recommends electrolyte drinks, not water alone.

Ice is how that water stays cool enough that people will actually drink it. Warm bottles sit in trucks. Cold water gets used.

Planning Rule of Thumb (Bagged Ice)

For West Texas and Permian Basin outdoor work, plan in 20 lb bags (the size most job-site deliveries use):

  • Light / shop / short day (under 90°F): about 3–5 lb of ice per worker per day
  • Typical construction shift (90–100°F, 10 hours): about 6–8 lb per worker per day
  • Extreme heat / 12-hour tour (100°F+): about 8–12 lb per worker per day
  • Add 20–30% for melt, late trucks, extra hands, and cooling towels or hard-hat ice

That is a procurement estimate, not a medical dose. Track what the site actually empties for a week and lock the standing order to that number.

Example: 20-Person Crew

  • 10-hour day around 95°F: 20 workers × 7 lb ≈ 140 lb. That is 7 bags of 20 lb ice, plus 2 spare bags → order 9 bags.
  • 12-hour tour at 105°F+: 20 × 10 lb ≈ 200 lb. That is 10 bags, plus 30% buffer → order 13 bags.
  • 40-person pipeline spread, extreme heat: 40 × 10 lb = 400 lb → 20 bags, plus buffer → 24–26 bags, preferably in a merchandiser so they do not melt in the sun waiting to be used.

If you are icing 5-gallon coolers, one cooler typically takes 10–20 lb of ice to start and more at lunch. Count coolers separately from drinking ice if both are in play.

What Drives the Number Up or Down

  • Shade and merchandisers cut melt. Open coolers in full sun can double the ice you need for the same crew.
  • Night shift uses less ice for cooling but still needs cold water. Do not copy the day-tour number blindly.
  • New or traveling hands who are not acclimatized drink more and need more cooling support in the first week.
  • Electrolyte pops and ice towels are extra ice on top of drinking-water ice — budget a few bags just for that.
